By using Planning Orchestrator ("Service"), including the web dashboard, AI scheduling assistant, email notifications, and SMS program, you agree to these Terms of Service. If you are using the Service on behalf of an organization, you represent that you have authority to bind that organization to these terms.
Planning Orchestrator is a volunteer scheduling tool that integrates with Planning Center Online. It provides a web dashboard, an AI-powered scheduling assistant, email reminders, and SMS notifications to help churches manage volunteer scheduling. Planning Orchestrator is an independent third-party service and is not operated by or affiliated with Planning Center Online.
The Service accesses Planning Center data through their authorized API using OAuth. You must have a valid Planning Center account and appropriate permissions within your organization to use this Service. Your use of Planning Center data through this Service remains subject to Planning Center's Terms of Service.
The AI scheduling assistant is a tool to help with scheduling decisions. It may occasionally produce incorrect suggestions. Administrators are responsible for reviewing and confirming all scheduling actions before they are applied. The Service does not use Planning Center data or conversation history to train AI models.
Your use of the Service is also governed by our Privacy Policy. The Organization (church) is the data controller for volunteer information processed through the Service.
The SMS component sends messages to church volunteers regarding scheduling requests, confirmations, reminders, swap coordination, and administrative notifications on behalf of their church. The following terms apply to the SMS program:
Planning Orchestrator Scheduling.
Transactional scheduling messages sent by a church to its volunteers for the purposes of scheduling confirmations, reminders, coverage requests, and swap coordination. Not a marketing or promotional program.
Volunteers are added to the SMS program only through one of the following consent mechanisms:
Consent is not a condition of purchasing any goods or services.
Message frequency varies based on scheduling activity. Volunteers who are actively scheduled typically receive 1–4 messages per week (a confirmation prompt, occasional reminders, and any swap coordination). Volunteers not actively scheduled usually receive zero messages in a given week.
Message and data rates may apply based on your mobile carrier plan. Neither Planning Orchestrator nor your church is responsible for carrier charges.
All major US carriers. Carriers are not liable for delayed or undelivered messages.
No mobile information (phone numbers, opt-in data, or SMS message content) is shared with third parties or affiliates for marketing or promotional purposes. Information is shared only with sub-processors that deliver the Service (see Privacy Policy).

Email notifications are sent for scheduling reminders, swap coordination, coverage alerts, weekly briefings, and administrative notifications. Every email includes an unsubscribe link (and the RFC 8058 one-click List-Unsubscribe header) so recipients can opt out with a single click.

The Service depends on third-party platforms including Planning Center Online, Anthropic, Twilio, SendGrid, and Stripe. We do not guarantee uninterrupted availability and are not responsible for outages caused by these providers.
The Service is provided "as is" without warranties of any kind. We are not liable for scheduling errors, missed notifications, or any damages arising from use of the Service. Our total liability is limited to the fees paid by your Organization in the 12 months preceding the claim.
Either party may terminate at any time. Upon termination, all Organization data will be deleted in accordance with our Privacy Policy.
These terms may be updated at any time. We will notify active Organizations of material changes. Continued use constitutes acceptance of updated terms.
