Planning Orchestrator runs on top of your existing Planning Center Services account. Connect once, then let it bulk-schedule, chase confirmations, replace declines, and sync blockouts on autopilot.
Getting started
- Connect Planning Center. Visit planningorchestrator.com and click "Get started." Sign in with your Planning Center account and grant the requested OAuth scopes — there's no password to create or manage.
- Pick a service type and team. From the dashboard, choose what you want to schedule. Planning Orchestrator pulls your existing teams, positions, and volunteer preferences from Planning Center automatically.
- Add priority tiers (optional). For finer control, rank volunteers in tiers (1–4) per position, or add scheduling notes. Skip this step and we'll use your Planning Center preferences alone.
- Bulk schedule or chat. Use the schedule builder to fill every upcoming service in one click, or open the chat assistant to schedule conversationally.
- Review and publish. Confirm the proposed lineup, then publish to Planning Center. Volunteers receive email reminders automatically — you don't need to do anything else.

What does Planning Orchestrator do?
It bulk-schedules services across your upcoming plans, automatically replaces volunteers who decline, sends tiered confirmation reminders, lets volunteers swap shifts on their own, syncs full-day calendar events as PCO blockouts, and emails you a Monday-morning report of unfilled roles.
Do I need a Planning Center subscription?
Yes. Planning Orchestrator runs on top of your existing Planning Center Services subscription — we don't replace Planning Center, we make it run on autopilot.
How does sign-up work?
Click "Sign in with Planning Center" — authentication happens entirely through Planning Center's OAuth. No password to create, no separate account to manage. You'll grant the requested scopes once, and you're connected.
What does it cost?
Plans are tiered by volunteer count — Seed, Sapling, Branch, Grove, and Cathedral. Every plan includes a free trial. Sign in to see current pricing for your church size, or use the contact form below if you'd like a quote first.
Can I add other admins from my church?
Yes. Invite them by email; they sign in with their own Planning Center account. Each admin's permissions are enforced by Planning Center — Planning Orchestrator can never expose data their PCO role doesn't allow them to see.
Does it work for multi-campus churches?
Yes. Planning Orchestrator is folder- and campus-aware. You can scope a schedule run to a single campus, or schedule across all of them at once.
Do volunteers need accounts?
No. Volunteers interact entirely through email — confirm, decline, or propose swaps with a single click. They never see Planning Orchestrator's interface.
Is my data safe?
All sign-in is OAuth via Planning Center — we never see or store passwords. OAuth tokens are encrypted at rest. Your data is strictly isolated per church and is never sold or shared. See our Privacy Policy for the full breakdown.
What happens if I cancel?
Cancel anytime from your billing page. All your church's data — preferences, rankings, conversation history, contacts — is permanently deleted. You stay in control the whole way.
What if a volunteer is scheduled in error?
Every scheduling action is reversible. Use the chat assistant to remove or swap anyone with a single instruction, or edit directly from the dashboard. Changes write back to Planning Center in real time.
